Job description

We have an exciting opportunity for a personal assistant/legal secretary to join our A&O Shearman Milan office, supporting our corporate M&A practice group. This position is ideal for someone who thrives in a fast‑paced, international legal environment.

This is a fantastic chance to work closely with partners and fee‑earners, contribute to high‑profile transactional work, and become a trusted member of a high‑performing team.

What you will do
  • Provide comprehensive diary, contact and correspondence management for lawyers within the corporate practice.
  • Manage both physical and digital filing systems and ensure accurate document organisation.
  • Handle incoming phone calls and coordinate calls, meetings and appointments (in‑person and virtual).
  • Organise complex travel arrangements and business trips across multiple jurisdictions.
  • Prepare and process expense claims and assist with timesheet management.
  • Format, edit and mark up legal documents, contracts and presentations.
  • Conduct company registry searches and support the preparation of corporate documentation.
  • Assist with administrative tasks related to billing, marketing and knowledge management.

What you will have
  • Strong organisational skills with excellent attention to detail.
  • A collaborative mindset and strong interpersonal skills, with the ability to work effectively across teams.
  • A proactive, enthusiastic and adaptable approach.
  • Previous experience in a law firm or professional services environment.
  • Good level of written and spoken Italian and English
  • Strong Microsoft Office skills.
