The Employee Engagement team brings together our training events and wellbeing & inclusion support into one coordinated service. We manage the end-to-end logistics for global training programmes delivered by A&O Shearman’s Talent & Development department, while also planning and delivering wellbeing and inclusion initiatives in partnership with the Global Inclusion team and Global Wellbeing teams.
What you will do
The role provides high-quality, end-to-end event and administrative support, serves as a responsive point of contact for related queries, and requires the flexibility to occasionally work outside normal hours and, where needed, attend events in person.
The role requires someone who is highly organised and efficient, and who enjoys getting the job done.
- Coordinate end-to-end delivery of employee engagement events and programmes (training, wellbeing and inclusion), virtually and in person, including pre- and post-event logistics.
- Proactively manage project plans, ensuring that all touchpoints, communications, payments and logistics are actioned.
- Maintain all team trackers (e.g., rooms, date setting, RSVP/attendance), streamlining and automating where possible.
- Team mailboxes – manage and respond to a wide range of queries received into the Training Events, Wellbeing and Inclusion mailboxes.
- Build and maintain strong working relationships with London Talent & Development Managers, UK Inclusion/Employee Networks, Global Wellbeing teams, Global HR/training coordinators and other stakeholders to ensure smooth planning and scheduling.
- Liaise with global offices to share event information, coordinate local requirements and support attendance for global audiences.
- Create and issue event invitations and communications (including speaker biographies and event content) and promote programmes/events via agreed internal channels (e.g. Vuture, LMS portal and newsletters) and on occasion, in partnership with Internal Communications.
- Involvement in managing the intranet pages related to L&D, Wellbeing and Inclusion (layout, content, imagery).
- Prepare event and programme materials (collateral, posters/signage, hand-outs and other documentation) and collate content as required.
- Monitor and manage registrations and respond to queries from stakeholders and attendees in a timely and professional manner.
- Provide on-the-day virtual and on-site support for in-person events on a regular basis, coordinating with relevant Business Services teams (e.g., Front of House, AV, Security and Reservations) and external venues where required.
- Manage budgets and supplier administration, including processing invoices and tracking spend to support accurate reporting, as well as creating recharges where required.
- Liaise with the Compliance Manager as needed in relation to fee-earning CPD requirements.
- Maintain programme and event documentation and file structures within the file management system and support effective use of the Learning Management System (including acting as a super user where required).
- Manage event recordings and ensure outputs meet brand guidelines, enabling colleagues to access materials post-event.
- Complete post-event reporting (e.g., attendance, feedback and survey results) and support continuous improvement;
- Key contact for in-person events in London office - check meeting room set-up, make any last-minute changes, meet and greet presenters/facilitators, and act as the main point of contact on the day for delegate queries.
- Undertake ad-hoc project work as required for the wider Employee Engagement team.
What you will have
- Experience coordinating events/training (virtual and in person), ideally within a professional services environment and within the training, wellbeing and inclusion area.
- Willingness to work extra hours when required – this will be when events are running and require an early start (from 7.30am) and a late finish (up to 7.30pm) in London office and on occasion travel to events
- Strong organisation, prioritisation and attention to detail, with the ability to juggle multiple deadlines and deliver under pressure.
- Excellent written and verbal communication skills, including confidence drafting event collateral and internal communications.
- Ability to build and maintain strong relationships with internal and external stakeholders, with influencing and negotiation skills.
- Strong IT skills, including advanced working knowledge of Word, Excel, Outlook and PowerPoint, and confidence using virtual platforms (MS Teams and Zoom) and intranet/content tools (e.g., Intranet Editor, Vuture) where required.
- Professional, proactive and resilient approach, with a strong client/service mindset.
- Effective data management skills; experience with reporting tools/databases (e.g., Power BI) is desirable.
- Experience using a Learning Management System is desirable (e.g., Docebo).
- Interest in training, inclusion and wellbeing, with an appetite to build knowledge and support engagement initiatives is desirable.
