Job description

We have an exciting opportunity for a Workflow Coordinator - Night Shift to join our growing Document Checking team, based in the A&O Shearman Belfast office.

Document Services consists of the following teams: The Bridge, Document Production, Document Checking, Central Records, Central Scanning and E-Bible, Practice Support, Office Assistants, and the Print Room.
The Document Checking team sits within the Document Services department. Document checkers' main focus is proofreading documents for the global network, overseeing and working on high-quality documents in accordance with the needs of the department's clients. This is a nightshift opportunity Monday - Thursday 11.00am - 9.30pm.

This role also includes:

PHP in addition to base salary (premium hours payment)
Onsite parking

What you will do
  • Assessing and assigning incoming document checking requests using the department's workflow system
  • Managing document checking requests against available resourcing on shift
  • Working in collaboration with other Workflow Coordinators to ensure seamless service across shifts
  • Building and maintaining strong working relationships with other teams in Document Services and the wider Business Services teams both in Belfast and London
  • Building solid working relationships with our supplier teams within Document Services
  • Escalating all client-related concerns and queries, taking ownership of issues, and offering valid alternatives to the client
  • Establishing and maintaining trusted client relationships
  • Being flexible regarding work location and working hours. It may sometimes be a requirement to work in the London office for special projects and meetings. Although training will be provided on shift whenever possible, it may sometimes be necessary to attend certain training courses off shift
  • Being flexible in undertaking these duties and any other duties as required


What you will have
  • Proficiency in Microsoft Office and document management systems, with the ability to learn new systems quickly
  • Knowledge of working on complex technical documents
  • Experience/understanding of the principles of effective workflow management
  • Experience of working in a professional services environment
  • Understanding the role of support teams in meeting the demands a 24/7 deadline-driven environment
  • Proven experience of providing support in a client services environment
  • Excellent communication skills
  • Strong planning and organisational skills
  • Attention to detail
  • Committed to delivering a high standard of service, with the ability to react quickly and appropriately to changes in client and business needs
