Job description
We have an exciting opportunity for a Senior Marketing Technology Assistant to join our Marketing team, based in A&O Shearman's Belfast office.Marketing team - Belfast
The digital and marketing technology team implements and manages the firm’s integrated marketing information systems and digital marketing communications channels. The digital channels include our public and client websites, email marketing system, content libraries, and blogs. The team is also responsible for the technologies that support core business development and marketing processes, including experience collection, contact management, pitching and opportunity management, CV management, event management, client segmentation and marketing analytics. These broad areas of activity support each other and overlap, helping to provide a 360° view of our interactions with a client.
The digital marketing and technology team is based in London, Belfast, New York, Munich and Sydney, and is part of the global marketing, business development and communications group.
What you will do
The Senior Marketing Technology Assistant is a member of the Digital Marketing Technology team operating from the firm’s Shared Support Services Centre in Belfast. The role has two main components, and the holder will spend approximately half of their time on each:
1. acting as a primary workflow point of contact – to triage and manage incoming instructions for the team and allocate appropriate resource to effectively deliver the work, and;
2. supporting the delivery of projects and business as usual activities for the firm’s marketing technology systems and digital channels.
The working hours for this role are 9:00am – 5:30pm GMT.

Responsibilities;
Workflow (this aspect of the role is shared with other team members, providing workflow cover throughout the day)
- Being the key point of contact for workflow: triaging and managing incoming instructions for the team and allocating appropriate resource to deliver the work.
- Work will be assigned based on an understanding of specific processes, the priorities of the team and skillsets of individual team members.
- Maintaining the workflow system with up-to-date information on deadlines and requirements.
- Acting as a support desk and responding to general queries from internal stakeholders.
Digital Marketing Technology support
- Being an advocate for the new Dynamics CRM, ensuring best practice use and the latest guidance is shared and understood.
- Being a point of contact for our marketing technology systems (Dynamics CRM, EPiC, Vuture, Sitecore, AOhub) and providing best practice advice and guidance to users.
- With other senior assistants, ensure regular tasks and priorities are carried out across Sitecore, Dynamics CRM, Vuture, etc. With mailboxes monitored and actioned in a timely manner.
- Providing ad-hoc training to users of our marketing technology systems, as and when needed.
- Supporting the creation of marketing technology process documents and guides.
- Assisting on ad-hoc projects, providing updates to management on a regular basis.
- Troubleshooting issues across our marketing technology systems and liaising with senior members of the team or external system providers, as and when needed.
- Supporting the Data Manager with business-as-usual (BAU) data management activities, including data cleansing, data quality checks and maintaining structured datasets.
- Performing any other tasks and duties as may be required, commensurate with the level of the post.
General
- Working with other team members to ensure any system upgrades and enhancements to our platforms are tested and implemented to the highest standards.
- Supporting the wider digital and marketing technology team in relation to specific projects on the marketing technology roadmap.
- Performing general support and admin tasks as part of the overall support of the organisation.
- Assisting in the creation of new processes and process improvements, including the drafting of documents and guides.
What you will have
- A broad understanding of using web content management systems, experience of Sitecore and MS Dynamics is desirable.
- Experience of working with data and an understanding of how marketing information systems and processes work.
- Experience of using any email marketing system (Vuture experience desirable).
- Experience working with content workflow/delegation and management systems (Microsoft Dynamics desirable).
- Good understanding of data management and analytical principles and processes.
- Excellent organizational and project management skills.
- Enthusiastic, responsive, proactive and innovative.
- Good interpersonal skills, able to confidently interact with all levels and across cultures.
- Ability to work under pressure.
- Very high attention to detail.
- Ability to identify and troubleshoot issues and delegate to technical colleagues or external providers as required.
