We have an exciting opportunity for a Matter Orchestration Manager to join our IT team, based in A&O Shearman's Belfast Office.

The core of the global technology department’s mission is to provide stable, reliable, and secure platforms and services to our partners, staff and clients and fulfil our regulatory obligations across 30+ countries. To ensure that a consistent and standardised IT service is delivered to all offices, IT is managed and led as a global function, enabling all offices to benefit from complete systems integration and economies of scale. We have around 400 technologists based predominantly in the UK, Singapore and increasingly in the US. 


Matter Technology Platforms 


To own, improve and simplify the firm’s key technology ‘building blocks’ by designing, building and managing the technology platforms which are fundamental to delivering the strategic business goals. 


What you will do


Reporting to the Head of Matter Technology Platforms, the Matter Orchestration Manager  is responsible for the detailed technical design, architecture artefacts, integration planning, and deployment engineering for the firm’s matter technology systems and related applications. Working with others in the team, as well as senior stakeholders from Risk & Compliance, Finance, IT and Business Development to design and deliver a streamlined and efficient global matter workflow process that is fit for purpose for the newly integrated firm.


An orchestration manager makes sure the right people, processes, technologies, and decisions come together at the right time, in the right order, to deliver an end-to-end outcome. 


The role produces high‑quality design and engineering outputs aligned to firmwide strategic and operational requirements, ensuring cohesive, secure, and scalable document technology solutions. They will be responsible for translation of functional requirements into architecture and design artefacts, working alongside the Matter Technologies Architect. Post design they will assume a design authority role within the governance of project and programme delivery. Expectations on the role are to be consultative in areas they are extremely competent in as along with being able to understand new technologies and working practices.

  • Working with others in the Matter Technology Team, the role will help ensure the Risk & Compliance strategy and matter platform strategy is adequately supported by the compliance systems, working directly with the Head of Compliance, Project Management Office, and other key stakeholders to ensure timely execution of workflow rollouts and wider enhancements to the system. The orchestration manager will ensure and realize maximum value of matter technologies for the organization, from the product development process. This essentially means collaborating closely with the development team and ensuring all the product requirements are well defined and executed in time.
  • Uses continuous improvement and process optimization skills and industry knowledge to deliver business value by identifying opportunities for improved efficiency, regulatory compliance and revenue generation. As the Matter Orchestration Manager, the candidate will be expected to develop expertise in each of the Firm's business lines and will work closely with stakeholders to understand working practices so that appropriate recommendations for change can be made.
  • Collaborate as part of a dynamic team focused on developing and maintaining the company's Intapp suite of products. You'll work closely with product owners, application developers, and other stakeholders to implement technical changes, build integrations and troubleshoot complex issues.
  • Lead on project specific items, enhancements and BAU tasks as a hands-on technical lead, supporting numerous improvements to enhance our firm's Risk Business applications. The role involves supporting the firm's Intapp Open product suite modules, such as Intake, Conflicts, Terms, Walls, as well as other matter lifecycle related applications as required.
  • Collaborate with senior stakeholders and technical resources from Enterprise Architecture, Enterprise Applications, Information Security, Data Governance and Technology Services to ensure that solutions are designed and deployed in alignment with the firm’s IT processes, policies and controls.  This includes continuous improvement initiatives, project work, and day-to-day support tasks. You will play a crucial role in designing and implementing technical updates, improving workflows, and making recommendations to enhance operational effectiveness.
  • Develop customer relationships with fee earners and business teams to manage the delivery of ensuring the matter workflow platform orchestrates, automates, and governs end‑to‑end processes to deliver efficient, transparent, and compliant matter progression.


What you will have


Experience:

  • Substantial experience in technical SME / product lead roles within a Risk and Compliance systems world, IE New Business Intake systems, Walls and Terms technologies, preferably within a legal services or professional services.

  • Hands-on experience with Intapp products including configuration, integration, and optimization. Excellent understanding of the Intapp suite of matter management technologies on which the current A&O Shearman matter inception process is implemented. 

  • Knowledge of legal and regulatory requirements related to matter workflow technologies and experience in implementing compliance and risk management practices. Demonstrates an ability to quickly understand the key component steps and interfaces within operational business processes and model new processes/procedures

  • Exposure to supporting multiple cloud, on premise hybrid applications with SSO & Integrations. With recent experience in migrating workloads to a cloud environments.

  • Knowledge of integration strategies for connecting Intapp platforms with other legal technology applications (e.g., practice management, document management, knowledge management etc.). 

  • Understanding of designing and configuring within workflow technologies. A good understand of business reading process maps and gathered requirements and turn them into streamlined configuration and systems.

  • Ability to learn, support, and cover multiple existing and new legal on prem, hybrid & cloud applications. Any of the following would be beneficial as well as Intapp; Dynamics or Peppermint of other CRM experience an advantage.

  • Direct or related experience of managing business change within a shared services environment with strong focus on standardization and optimization, preferably within the legal or professional services sector. 

  • Demonstrable experience of working on complex, large-scale business transformation within a global organization. And proven experience in managing and implementing technology solutions. 

  • Excellent communication skills both oral and written, with an ability to bring clarity to an operational environment with complex influencing factors.  

  • Knowledge of current IT and workflow trends and technology innovations and understanding of alternative matter inception technologies.

  • Good attention to detail whilst being a logical thinker, clear communicator and possesses strong interpersonal skills.  

  • At least 8 years background in the IT industry, with experience managing workflow systems or processes.

  • Proven business acumen and ability to understand how they add value to the function, firm or clients.

  • Able to liaise and influence senior stakeholders within the firm.

  • Possesses strong customer mindset and a desire to deliver world-class service outcomes.

  • Effective problem solving, planning and decision-making skills in a complex environment.

  • Tactful and diplomatic when in pressured situations, with ability to challenge and motivate others.

  • Promotes the firm's values at all times and is comfortable working with a wide range of people and departments.
